Privacy Policy

This policy explains what information BoxOfficeTech LLC (“BoxOfficeTech”, “we”) collects, why we collect it, and who we share it with. It covers three different audiences: visitors to this marketing site, event organizers who use our admin, and ticket buyers who purchase through an organizer’s portal.

Information we collect

When you contact us. If you submit an enquiry or demo request, we collect the name, email address and any organization, phone number and message you provide, along with the page you submitted from and your IP address and approximate location (city/region/country) derived from the request. We use this to respond to you and to keep a record of the enquiry.

When you buy a ticket. Organizers’ ticket portals collect the buyer’s name, email address, phone number and billing address, the items purchased, and the order and payment status. We never receive or store full card numbers— card details are entered directly into our payment providers’ own secure fields.

When you hold an account. For organizer staff and buyer accounts we store the sign-in email, display name, role and the organizations you are attached to. Passwords are held by our authentication provider, not by us in readable form.

Automatically. Standard server logs (IP address, user agent, timestamps and requested pages) and the operational data needed to run an event — ticket holds, check-in scans, and order history.

How we use it

  • To process orders, issue tickets and admit attendees at the gate.
  • To send transactional email — order confirmations, ticket delivery, password resets, membership receipts and pickup notifications.
  • To provide organizers with reporting on their own events, buyers and vendors.
  • To respond to enquiries, and to provide support before and during your event.
  • To protect the platform against fraud and automated abuse, and to meet our legal and accounting obligations.

Service providers

We share information with the providers needed to run the service, and only for that purpose:

  • Payment processing — Stripe, PayPal and Square, depending on which the organizer has connected. They receive the payment and buyer details necessary to process and settle the transaction, and handle card data under their own terms.
  • Hosting, database and file storage — Google Firebase and our application hosting provider.
  • Email delivery — Resend, for transactional messages.
  • Bot protection — Cloudflare Turnstile, on sign-up and public forms.
  • Maps and address lookup — Google Maps and Places, where an organizer has enabled them.

We do not sell personal information, and we do not share it with advertisers.

Organizers and buyers

Where you buy a ticket from an organizer, that organizer receives the buyer details for their own event and is responsible for how they use them, including their own marketing to their own audience. We process that data on their behalf as part of providing the platform. If you want your details removed from an organizer’s records, contact the organizer; contact us and we will help if you cannot reach them.

Retention

Order, ticket and payment records are kept as business and tax records for as long as required by law. Enquiry records are kept while we are in contact with you and for a reasonable period afterwards. Short-lived operational data — such as ticket holds during checkout — expires automatically, typically within minutes. Deleting an account removes the profile; completed orders are retained as purchase records.

Your choices

  • Access and correction. Account holders can view and update their own profile in their account settings.
  • Deletion. Buyer accounts can be deleted from account settings, or you can ask us.
  • Marketing email. Newsletter and marketing messages carry an unsubscribe option and are separate from transactional email about your order.

Security

Access to production data is restricted to staff who need it, secret credentials are held server-side and never exposed to the browser, and database rules confine each organizer to their own records. No system is perfectly secure, but we treat payment and buyer data as the most sensitive thing we hold and design accordingly.

Children

The platform is intended for use by adults purchasing or organizing events. We do not knowingly collect personal information from children.

Changes

If we change this policy we will update the date at the top of this page. Material changes will be communicated to account holders.

Who is responsible for your information

BoxOfficeTech LLC operates this site and the ticketing platform, and is responsible for the information described above. Food and beverage ordering is offered under the ezFnB brand, which belongs to ezFnB LLC, a separate company; the ordering service itself runs on the BoxOfficeTech platform and the data handling described in this policy applies to it. If that changes, this section will be updated before the change takes effect.
